Pre-Med Coach Privacy Policy

Pre-Med Coach is a free planning tool for pre-med and other pre-health students, operated by International Medical Aid Foundation ("IMA", "we"). This policy explains what we collect, why, who receives it, how long we keep it and the choices you have. It applies to coach.medicalaid.org and to the Pre-Med Coach plugin in ChatGPT.

What we collect

• Account information: your email address, when you signed up and last signed in, and whether you chose to receive IMA updates.
• Planning information you enter: your name if you give one, year in school, career path, intended entry year, GPA and science GPA, MCAT score or planned test date, general location, school list and progress notes on prerequisites, letters and personal statement.
• Experience entries and tasks you save: titles, categories, hours, dates, notes and reminders.
• Security information: IP addresses and timestamps recorded with sign-in codes, sessions and rate limits, used to keep accounts secure and stop abuse.
• ChatGPT connection records: when you connect Pre-Med Coach in ChatGPT, we store the authorization tokens that let ChatGPT read and update your plan on your behalf.

Please do not enter patient information, health records, government ID numbers or payment details. Pre-Med Coach does not ask for them and does not need them.

How we use it

• To sign you in and keep your plan, hours and tasks with your account.
• To show your dashboard, calculations and planning suggestions, including information about IMA clinical internship programs that match your career path.
• To protect the service, prevent abuse and fix problems.
• To send you pre-med tips and IMA program updates, only if you check the box to receive them.
• To count overall usage (for example, how many students signed up this month) so we can improve the tool.

We do not sell your personal information, and we do not use your planning information for advertising. Pre-Med Coach does not send your profile to IMA admissions.

Who receives it

• IMA staff with administrator access, limited to running and supporting the service.
• Service providers that run the service for us: our web hosting provider, Cloudflare (network and security), and Google Workspace (which delivers sign-in emails).
• Our email marketing provider, only for students who opted in to IMA updates.
• OpenAI, when you use Pre-Med Coach inside ChatGPT. Information the plugin returns appears in your ChatGPT conversation and is handled under OpenAI's own terms and privacy policy.
• Authorities, if the law requires it.

How long we keep it

• Your account, plan, experience entries and tasks are kept until you delete them or delete your account. We may delete accounts that have been inactive for more than 24 months.
• Sign-in codes expire after 10 minutes. Expired sign-in codes and sessions, including their IP addresses, are deleted within 30 days.
• When you delete your account, your account, plan, entries, tasks, sessions and ChatGPT authorizations are deleted right away. Copies that exist in server backups are removed as those backups are replaced on their normal schedule.

Your choices

• Edit your profile, and edit or delete any experience entry or task, at any time in the app or through ChatGPT.
• Turn IMA updates on or off under "About your data" in the app, or use the unsubscribe link in any update email.
• Disconnect Pre-Med Coach in ChatGPT under Settings, Plugins. This stops ChatGPT from accessing your plan.
• Delete your account and all its data at any time.
• Ask us for a copy of your information, a correction or a deletion by emailing [email protected].

Students under 18

Pre-Med Coach is designed for high school, college and graduate students. It is not intended for children under 13, and children under 13 should not use it. If you believe a child under 13 has created an account, email us and we will delete it.

Security

Sign-in uses one-time email codes instead of passwords. Connections are encrypted, ChatGPT access uses standard OAuth authorization that you can revoke, and each student's records are separated by account.
